Henking/Hoffman PTA Board and Standing Committee Chair Job Descriptions

Executive Board

President
The president shall preside at all meetings of this organization, the executive board, and the executive committee, delegate the work of the organization to other officers or chairmen as may be appropriate, be responsible for conducting the annual Local School Council election and be a Henking/Hoffman PTA representative to the District 34 PTA Council and serve or appoint a representative as the Henking/Hoffman PTA representative to the Debra Gelfand Fund Committee for one year.

1st Vice President
The 1st vice-president shall act as aide to the president, serve as representative to Legislative Council of the PTA Council for a one year term, serve as the second Henking/Hoffman PTA representative to PTA Council for a one year. The 1st vice president will serve as the president the following year.

2nd Vice President
The 2nd vice-president shall serve as an observer to the Board of Education for a one year term, attend Board of Education meetings and report to the PTA and serve as Caucus observer for a one year term.

3rd Vice President
The 3rd vice-president shall serve for a two year term (rotating with the 4th vice-president) as a voting member of the Local School Council, have a child in attendance at Henking School for the two years and serve as the coordinator of the room parent program at Henking School.

Secretary
The secretary shall record the minutes of all meetings of this organization, the executive board, and the executive committee, conduct correspondence of the organization as directed. The secretary is responsible for correspondence with state and national PTA.

Treasurer
The treasurer shall receive all monies of this organization and keep an accurate record of receipts and expenditures and present a written financial statement at every meeting of the organization and at other times as requested by the executive board, making a full report at the regular meeting in September.

Assistant to the Treasurer
The assistant treasurer shall aid the treasurer in all duties listed above and serve as treasurer the following year. Assistant Treasurer will also serve as the financial point person for the Global Language Program.

Standing Committee Chairs

Art Enrichment (1 or 2)
The art enrichment chairpersons will head the committee that shall work in presenting art work to each classroom throughout the year at both schools and shall facilitate all other art enrichment programs and increase art appreciation their respective schools.

Benefit (1-3)
The Fundraising chair or chairs will plan the annual auction benefit.

Book Fair (2)Hoffman (2)Henking
The book fair chairpersons will head the committee that shall plan and direct the book fairs at their respective schools. There shall be two book fair chairpersons for the Henking Book Fair which is a two year rotating position. The Hoffman Book Fair chairperson(s) is also a two year rotating position. They shall also coordinate the party for the reading enrichment program.

Cultural Enrichment (1)Henking (1) Hoffman
The Cultural Enrichment chairpersons will arrange for appropriate and enriching programs to be presented to the students at their respective schools. This will be a rotating position with both schools being represented.

Directory (1 or 2)
The directory chairperson will head the committee responsible for the school directory
The chairperson will coordinate, compile and review directory forms. The chairperson will work with various software programs in order to update and incorporate all lists.

Electronic Communications
The electronic communications chairperson will coordinate, compile content, and distribute e-mail communications/newsletters to school parents who opt into the PTA e-mail list. The chair will also work with the executive board, principals, and tech facilitators to manage the content of the PTA website www.henkinghoffmanpta.org.

Environmental (2)
The Environmental Chairperson will head the committee that coordinates environmental activities at both schools. This chairperson will also work in coordination with the Outdoor Educational Gardens at both schools.

Fall Fun Fair (2)
The Fall Fun Fair Chairpersons shall take charge of the annual fall festival. This will be a rotating two year position.

Fifth Grade Picnic Coordinator (1 or 2)
The fifth grade picnic chairperson will work with the Hoffman principal and staff to plan and staff the fifth grade end of the year picnic.

Global Language (2)Henking (2) Hoffman
The global language chairpersons shall head the committee that will be responsible for working with Discovery Language in organizing and coordinating the Global Language Program at their respective schools. This will be a two year rotating position.

Health and Safety (1) Henking (1) Hoffman
The health and safety representative has two main responsibilities: 1) coordinating volunteers for the full school lice checks the first day back to school after all three major breaks (summer, winter, and spring) and 2) coordinating vision and hearing screening volunteers during the school year. The health and safety chairs will also work with the principals, school staff, and parents to take on other school safety issues as necessary.

Hospitality (1)
The hospitality chairperson shall serve as host at all PTA affairs and school functions upon request of both schools.

International Night (2)
The International Night chairs are responsible for planning and coordinating the annual Henking/Hoffman International Night.

Holiday Helper (2)
The chairpersons will lead the committees on Holiday Helper. This will be a two year rotating position.

Parent Education (1)
The parent education chairperson will head the committee on bringing educational programs to the parent community, communicating with the District 34 PTA Council Parent Education representative regarding district-wide programs and coordinating TV Tune Out Week activities.

PTA Publicity/Welcome (1 or 2)
The PTA Publicity/Welcome Chair will work to educate and welcome all parents in our schools by sharing the benefits of joining and being an active member in PTA. This will include, but not be limited to, coordinating the Open House Volunteer Fair at the schools in late summer prior to school start, and scheduling a beginning of year event to introduce new parents to PTA.

Staff Appreciation (1)
The Staff Appreciation Chair will work to recognize the efforts of the teachers and staff at our schools on behalf of the PTA. This will include, but is not limited to, special recognition at both schools during National Teacher Appreciation Week in the spring.
